Homeschool Transcript Readiness Checklist — Is Your Transcript College-Ready?

🏫 School Header — First Thing Admissions Sees

School name is present and consistent with all other documents you are submitting (school profile, dual enrollment forms, etc.)

Mailing address (your home address) is present — colleges use this to create your school record in their system

Phone number is current — admissions offices call to verify

Email address is professional-looking and actively monitored

The word "TRANSCRIPT" or "ACADEMIC RECORD" appears prominently on the document

👤 Student Information Section

Full legal name (first, middle, last) — matches government-issued ID exactly

Date of birth in MM/DD/YYYY format

Graduation date (or "Expected May [Year]" for in-progress transcripts)

No Social Security Number on the transcript — SSN belongs on FAFSA only, never on a document sent to colleges

📚 Course Listing — The Core

Courses are organized by year (9th, 10th, 11th, 12th) — not by subject

Every course has a course name using standard academic naming (e.g., "Algebra II," not "Math Year 3")

Every course has a credit value listed (1.0, 0.5, or 0.25)

Every course has a letter grade or Pass/Fail notation

Dual enrollment courses are labeled "(DE)" or "(Dual Enrollment — [College Name])"

Honors or AP courses are labeled "(H)" or "(AP)" in the course name

Total credits per year are reasonable — most students complete 5–8 credits per year; 10+ credits in one year raises questions

Total cumulative credits are at least 22 (minimum for most college-prep programs) and ideally 24–28

🧮 GPA Section

Cumulative unweighted GPA is displayed prominently — verified against manual calculation or GPA calculator

If weighted GPA is reported, it is clearly labeled "Weighted GPA" — never reported without disclosure

Total credits earned is shown alongside GPA

Pass/Fail courses are excluded from GPA calculation and noted as such

📊 Grading Scale

A grading scale table appears on the transcript itself — not just on the school profile

The scale includes percentage ranges for each letter grade (e.g., A = 90–100%)

The grading scale is consistent — the same scale was used for all four years

✍️ Signature Block

Certification language is present: "I certify that this is a true and accurate record of academic work completed by [Student] under the home education program of [School]…"

Physical or digital signature is present (not just a typed name in a normal font)

Administrator's printed name, title ("Principal" or "Administrator"), phone, email, and date are all present

🔍 Quality Control — Read It Like an Admissions Officer

No typos or inconsistencies in course names, dates, or grade values

GPA calculation verified manually or with the GPA calculator — the math is correct

Credit values are internally consistent — a year-long course and a semester course are not both listed as 1.0 credit

The school name matches exactly across transcript, school profile, and any dual enrollment documents

The student's name matches exactly how it appears on their government-issued ID and SAT/ACT registration

The transcript has been saved as a PDF — not submitted as a Word document or editable file

You have a signed original on file — the digital version you are sending is a scan or PDF of the signed document, not an unsigned copy
